Privacy Notice – Apprentices at Universal Learning Streams

Looking after your personal information and making sure you can exercise your privacy rights is a priority for Universal Learning Streams. This notice sets out how we would use and process your personal data when you are on an apprenticeship programme with us.

Who we are

Your personal information will be held by Universal Learning Streams Ltd, your apprenticeship Training Provider.

What we use your personal information for

When we use your personal information, the law says we have to be able to show that we have a lawful ground for doing so. Lawful grounds can include:

> when we have a legal obligation

> when it is necessary to carry out a contract with you or to take steps to enter into a contract with you

> when it is in our legitimate interest

> when we obtain your explicit consent.

How we process your personal information

When we process personal information on the basis that it is in our legitimate interests to do so we will have undertaken an assessment to ensure our processing is transparent, proportionate and does not unfairly prejudice your interests.

Who we will share your information with

We collect and use your personal information to allow us to carry out the work of Universal Learning Streams in delivering apprenticeships.  We are required to collect this information by the Educations and Skills Funding Agency (ESFA), Ofsted (our Regulatory body) and Awarding Organisations (for registration, assessment and certification), in order to deliver our services to the required standards and to secure funding. Processing this information is necessary to meet the contractual obligations entered into by enrolment on an apprenticeship programme and in order for us to meet our legal obligations under the Apprenticeships, Skills, Children & Learning Act 2009.Some of the information provided by you will be used by the Education and Skills Funding Agency (‘ESFA’) in order to fulfil its statutory duties and functions, issue/verify your Unique Learner Number (ULN) in order to maintain your Personal Learning Record. How long we will keep your personal information

Any data and documentation related to funding of your apprenticeship programme must be retained for the period set by the funding body (e.g. Education & Skills Funding Agency). This is usually for 6 years after the financial year end in which the apprenticeship programme ends as a minimum.
